VASCO Design LLC
The problem
VASCO Design LLC is Carlos's commercial maintenance company. Quotes, follow-ups and books ran on people's spare minutes. Some quotes went out late or not through the books at all.
The workflow
- 1An inquiry arrives by web form, email, or text.
- 2The agent drafts a first reply and a time to talk. A person approves it before it sends.
- 3For quotes already sent, the agent tracks status in the tools the team already uses. It queues the next follow-up for approval on the team's schedule.
- 4Written limits decide what the agent may do and what waits for a person.
What stays human
- Approving anything sent to a customer
- The numbers and scope in any quote
- Deciding which leads to pursue
- Any promise about dates
What changed
- Same team, same kind of work, now with the system. So far in 2026, VASCO has quoted more than 4x the dollars it quoted in the last six months of 2025, and the year is not over.
- The bookkeeper got half or more of her day back. She now works as our financial analyst.
- Quotes sent through QuickBooks: 16 of 32 in June 2026, 30 of 31 in September.
- 13 of 13 sent quotes that were at risk of a missed follow-up got an internal team nudge in Slack, a median of 1 day after the quote date, and all 13 follow-ups got done (Sep 21 to Oct 18).
